What I do with your information

I am one person running a small coaching practice. This page says what I collect, who else sees it, how long I keep it, and how to have it removed. If anything here is unclear, ask me and I will explain it.

What I collect, and why

  • The enquiry form. Your name, your email address, a phone number if you choose to give one, which service you are asking about, and whatever you write in the message. I use it to answer you and to arrange sessions. Nothing else.
  • The call-back form. Your name, your phone number, a time that suits you, and whether you are the student or a parent. I use it to ring you back. Nothing else.
  • Coaching notes and marks. If we work together, after each session I keep my own written notes and marks on how each answer went. They are my working record. I use them to plan the next session and to write your plan, so the next session is useful instead of a repeat of the last one. They are mine, and no one else sees them unless you and I agree to it. A parent gets the plan, which says what we covered and what to practise. The plan does not include my marks or my notes.
  • Your own ratings. I may ask you to rate your own answer before I give you feedback. In the first session you fill in a five-question confidence rating, and we repeat it after the mock so we can both see what moved. These are your own words and numbers. I keep them with my notes. I never add them up, and I never show them to a parent as a score.
  • Practice recordings. The intensive and some of the work between sessions ask you to record a practice answer and send it to me by email. I use it only to give you feedback on it.
  • Payment records. The amount, the date, and the reference on the transfer. I do not see or hold your card details, because I do not take card payments.

If a field has no purpose, I do not ask for it. That is why the phone number is optional on the enquiry form, and asked for only when you want a call.

What this site does not do

The only measurement this site uses, or will use, is Cloudflare Web Analytics, which counts page views without cookies and without identifying who you are. There is no advertising and there are no tracking pixels. Nothing follows you to other sites. The public pages of this site set no cookies. My own sign-in to my coaching records uses one cookie, and I am the only person who ever receives it.

The timeline planner, the pathway planner and the practice stations all run inside your browser. What you type into them is never sent to me and never leaves your device. Nothing is recorded, nothing is scored, and closing the tab is enough to be rid of it. The one thing this site writes to your browser is a note that you dismissed a prompt, so it does not reappear in the same visit. It disappears when you close the tab.

Who else touches it

Running a website means other companies handle some of this on my behalf. There are two, and that is the whole list.

  • Formspree. The enquiry form posts to Formspree, which passes the message to me. That means your message is processed on their servers, which are outside Australia.
  • Cloudflare. The site is hosted on Cloudflare. Like any web host, it logs requests, including IP addresses, to serve pages and to keep the site up.

Who I pass it on to

Nobody. I do not sell it, rent it, trade it, or hand it to anyone for marketing. There are two exceptions and I would rather state them than leave them implied.

  • Where the law requires it of me.
  • Where I believe someone is at serious risk of harm. If a student tells me something that worries me badly enough, I may tell a parent or guardian, or the appropriate service. I would tell the student I was doing it wherever it is safe to.

Students under 18

Many of the students I coach are 17 or 18, and some are younger. If you are under 18, a parent or guardian should make the enquiry and arrange the sessions, and they are the one I will correspond with about arrangements and payment.

What a student says in a session is not automatically reported to their parent. Coaching works better when a student can be told plainly that an answer did not work, without it being relayed. What a parent does get is the plan: what we covered and what to practise next. My marks and notes are not part of it, unless the student and I agree otherwise. The exception is the risk of harm above.

How long I keep it

Enquiries are kept for 24 months after our last session, then deleted. My coaching records, which are my notes, my marks and your own ratings, are deleted 24 months after our last session. That covers a student who applies again the following cycle and wants to pick up where they left off. If you want yours gone sooner, ask and I will delete it. If you ask me to keep them longer, I will, and I will check with you again a year later.

A session recording, made only if we agreed to it first, is shared privately with you and your family and is deleted within three months of your interview date. A practice recording you email me follows the same rule. I keep it no longer than three months after your interview date, and I delete it sooner if you ask.

Records of what was paid are kept for as long as Australian tax law requires, which is currently five years. Those are financial records rather than coaching notes, and I keep them whether or not you ask me to delete the rest.

Seeing it, correcting it, or having it deleted

Email fadi@medinterview.com.au, or ask through the enquiry form, and I will send you what I hold about you, correct anything that is wrong, or delete it. There is no charge for any of that, and I will do it within 30 days.

Where I stand under the Privacy Act

The Privacy Act 1988 (Cth) exempts most small businesses with an annual turnover of $3 million or less, and that exemption applies to me. So this page does not claim that I am bound by the Australian Privacy Principles. It describes what I do, and I consider myself answerable for it. If my position under the Act changes, this page changes with it.

I take reasonable care with what I hold. I cannot promise that nothing will ever go wrong. If something does go wrong in a way that affects you, I will tell you what happened and what I am doing about it.

If this page changes

I will change the date below and, where the change matters to someone I am already coaching, tell them directly. The terms of engagement are a separate page: read the terms for prices, payment, cancellation and refunds.
